CANCELLATIONS POLICY
CANCELLATIONS BY US:
Although every reasonable step is taken to conduct courses, in some situations this may not be feasible. Reasons for a cancellation by us may include, but not limited to:
- Dangerous weather
- War
- Accident
- Instructor travel disruption
- Illness
Where a course is cancelled by us, a full refund will be offered or loading onto another course (Any difference in course cost will be added or deducted as appropriate).
Where practical, we will offer an alternative itinerary that aims to meet the objectives of the initial advertised course.
A note on travel disruption:
For overseas trips, you are liable for your journey to the meeting location. This is not covered by our cancellation policy, and we recommend you take out appropriate travel insurance to cover the full cost of your flight and course fee.
Ascend Mountaineering cannot be held liable for travel disruption out of our hands that affects the course itinerary. All endeavors will be made to ensure we can reach our destination or identify a suitable alternative itinerary, that meets or exceeds the standards as advertised.
Winter courses:
In the event of unseasonable weather or a lack of snow, Winter skills courses and expeditions will still aim to run as mountain skills events or multi-day winter skills.
CANCELLATIONS BY THE CLIENT:
All cancellations must be in writing (email) and acknowledged by us. Cancellation costs charged to the client are:
UK Courses:
For UK Courses, a 25% deposit is required to secure the booking, with the remainder due 6 weeks prior to the course start. Courses booked closer than 6 weeks to start start date require payment in full.
Where the course place is unable to be re-sold by us prior to the commencement date of the course and the cancellation is:
Overseas Courses:
Overseas courses require either payment in full, or a 25% non-refundable deposit. Full payment is required no later than 8 weeks prior to departure.

Deposits are non refundable, notwithstanding the terms above.
Any refunds due, after deduction of cancellation costs, will be made within 15 working days of us acknowledging the cancellation.
All reasonable measures will be undertaken to instigate contact with a client if payment has not been made 6 weeks prior to course commencement. If 28 days prior to the course starting no contact has been made, the slot will be deemed available and will be readvertised. In this instance deposits will not be refunded.
TRAVEL TERMS
Travel Status

Each element of the trip is sold as a separate entity, via separate invoices. Some accommodation and transport is payable on arrival direct to the service provider.
Itinerary
In some circumstances, the itinerary may not be able to go ahead as planned. Weather or travel disruption are some circumstances which may prevent the planned itinerary. In these circumstances, Ascend Mountaineering will offer an alternative package of equal value.
Liability
We regret we cannot accept liability or pay any compensation where the operation of our trips or the performance of our contractual obligations is prevented or affected by unavoidable and extraordinary circumstances. In our booking conditions, ‘unavoidable and extraordinary circumstances beyond our control’ means any event which we or the supplier of the service in question could not, even with all due care, foresee or avoid.
Should delays due to weather conditions disrupt your itinerary, additional costs may be incurred and these would be the responsibility of you, the client.
We regret we are not in a position to offer you any assistance in the event of delay at your outward or homeward point of departure; however, you will be assisted by the airlines in accordance with the airlines’ policy on delay.
Each service provider is responsible for the proper contractual performance of that particular service.
Clients are responsible for ensuring that they are in possession of private travel insurance with protection for the full duration of the tour in respect of at least medical expenses, injury, death, repatriation, cancellation and curtailment.
